Working hours:
Monday to Friday: 8hr30 to 16hr30
You will be required to work on Saturdays and/or Sundays for temporary events.
Duties
As the Administrative and Accounting Assistant, you will be:
• Reporting to the House Director
• Providing administrative and accounting assistance to the director
Your duties and responsibilities will include:
• Management of day-to-day administrative tasks (liaising with banks, insurance, suppliers; taking minutes at meetings; filing and archiving of documents etc.)
• Scheduling appointments, meetings, and travel arrangements
• Handling accounting tasks of the company and providing support for special projects/events
• Management of daily accounting and recording of all financial transactions
• Filling-in the dashboards and management tools given by the accountant on a daily basis (Balance sheet, cash-flow forecast, budgeting etc.)
• Ensuring accurate input on accounting software and timely reporting of financial information
• Performing bank, creditors, and debtors’ reconciliation on a weekly basis
• Providing assistance with grant reporting on a quarterly basis
• Invoicing customers and partners and making payments to suppliers and teams
• Liaising with the accountant for bookkeeping and monthly tax declarations
• Tracking payments and doing monthly follow-up for the payment of taxes
• Doing annual follow-up for accounts
• Any cognate duty as determined by management
Qualifications
Profile requirements:
• Minimum ACCA Level 1 or a Degree in Accounting, Finance or any related field
• Minimum 5 years of experience in a similar role
• Strong understanding of accounting principles and procedures
• Fluency in English and French (Oral and Written)
• Attentive to details and ability to manage multiple projects simultaneously
• Ability to work under pressure and manage unexpected challenges
• High degree of independent judgment and decision making is essential
• Proficiency in Office software such as Microsoft Office, Microsoft Excel, and Google Suite is essential
• Knowledge in any Accounting software will be an advantage
